Welcome to the Wits Emergency Medicine Department (WEMD)!

Where to start?

1. Registration
 

STEP 1: Obtain your W number issued from WEMD. (A "W number" is a unique registrar HPCSA number allocated to your post)

If not received from the initial orientation email then contact WEMD secretory: Ishmael Hlungwane (email: ishmael.hlungwane@wits.ac.za; office number: 011 717 2812); alternatively secretory Zamakholo Mavimbela (email:zamakholo.mavimbela@wits.ac.za; office number: 011 717 2036)

STEP 2: Complete these 3 forms: - click on the hyperlink to access form

Joint bursary staff form

Application for postgraduate study

HPCSA form 9

Then submit them to the postgraduate office at the Phillip V Tobias Building (situated next to medical school, at the bottom of the hill).

STEP 3: Once your forms are processed you will receive an email from faculty stating that you have been accepted into Master of Emergency Medicine program and to accept the offer on student self service portal. Log onto portal and accept offer.

How to log into student self portal: 

Username: student number

Password: your date of birth

Alternatively call WITS IT Support: 011 717 1717

​

STEP 4: In a few days you will get an email from WITS Human Resources (5th Floor PVT) that will include your new STAFF NUMBER and a link to apply for the bursary online.

STEP 5: Follow the link on the email to apply for a bursary: on one tab you will need upload a "fee estimate statement" this can be obtained from your student portal.

​

BURSARY APPLICATION

All Postgraduate Students in the various MMed Specialization Programmes who wish to benefit from the University Staff Bursary Scheme for tuition, (as Joint Staff), must submit an application online 

  • Click on the below link https://witsapps.wits.ac.za/bursary

  • In order to log in, you will need your WITS Staff Number, and WITS Staff Password.

  • For assistance with a Password, contact WITS ICT on 011 717 1717.

  • You will also need your MBBCh transcript and fee estimator (this can be obtained from student self portal - under campus finances tab)

  • Follow the step wise online form

​​STEP 6: WITS HR will then send you a official letter with your staff number, this needs to be printed out and will allow you to obtain a student card from WITS Education Campus.

2. STUDENT CARD

​

REMEMBER YOU FIRST NEED THE LETTER FROM HR WITH YOUR STAFF NUMBER TO TAKE WITH YOU TO THE KUDU OFFICE ​

​To obtain your student card at the Wits Education Campus, please visit the Kudu Card Office located on the first floor of the Administration Block. The office operates Monday to Friday from 08:00 to 16:30.

Directions:

1. Enter through the Medical Gate

  • This gate is located along York Road and is the main entry point for those coming from the Wits Medical School or surrounding areas.

2. Follow the Main Road

  • Once inside, continue straight along the main road.

  • You will pass several lecture buildings and green spaces on your left and right.

3. Reach the Central Area

  • Continue until you reach the main Administration Block—this is the building where most administrative services, including the Kudu Card Office, are located.

4. Locate the Kudu Card Office

  • The Kudu Card Office is on the 1st floor of the Administration Block.

  • Enter the building and take the stairs or elevator to the first floor.

  • Look for signs or ask at the front desk for assistance.

How to register with the library and why?

Faculty Registrar's Office Health Sciences 

To register with the Wits Health Sciences Library as a registrar, follow these steps:

  1. Obtain Your Student Number and Student Card:

    • Visit the 5th floor of the Phillip V. Tobias Building to acquire your staff number.

    • Proceed to the Kudu Office on the Education Campus to obtain your student card.

  2. Visit the Health Sciences Library:

    • With your student number and student card, go to the Health Sciences Library located on the medical campus.

  3. Register at the Library:

    • Present your student card to the library staff to facilitate your registration in their system.

  4. Configure Access on Your Personal Device:

    • Bring your laptop to the library so staff can assist in setting up necessary links and resources, ensuring seamless access to journals and other materials essential for your studies.

HOW TO GET A YELLOW BOOK
 

You must get your yellow book from Ishmael at the beginning of your reg time.

It costs R50 and you can pay with cash only. 

In the context of the Health Professions Council of South Africa (HPCSA), the term "yellow book" refers to a comprehensive logbook used by emergency medicine registrars to document their training and clinical experiences. This logbook serves as an essential record of the registrar's progress and competencies acquired throughout their training program.

Purpose of the Yellow Book:

  • Academic topics that need to covered on a yearly basis

Maintaining an up-to-date and accurate yellow book is crucial for registrars, it demonstrates their commitment to professional growth and adherence to HPCSA standards.

HPCSA FORM 9

HPCSA Form 9 is an official document required by the Health Professions Council of South Africa (HPCSA). It is used for the annual renewal and verification of medical professionals working in specific fields, such as emergency medicine. This form is essential to confirm that healthcare practitioners are correctly registered and authorized to practice within their allocated posts.

 

Once the form is filled out, it must be handed to Prof Motara's office for the Head of Department's signature to finalize the process. Below are important guidelines to follow when completing the HPCSA Form 9:

  • The form must be signed by the Head of the Department (Prof Motara) and the Medical Superintendent at the hospital where you are employed.

  • All registrars and fellows must be allocated a department W number (board-approved post number), which must be included on the form.

  • The section labeled “Original official date stamp of institution” must not be stamped by the hospital, school of clinical medicine, or department.

  • PLEASE ENSURE TO MAKE A COPY/SCAN THE COMPLETED FORM 9 BEFORE HANDING IT IN TO PV TOBIAS SECOND FLOOR

HOW TO PAY YOUR WITS ANNUAL FEES?

You can access your account with your fee statement and pay your university fees via the WITS self-service portal.

​

  • Select icon - Campus Finance - the select tab "make a payment"

  • Online direct payment can be done which will reflect immediately on your fee statement OR EFT can be made as per details on fee statement​

  • A portion of your fees are subsidized by the government via a bursary.
